Deploying WebDesktop
In an organisation with up to a thousand users, a WebDesktop deployment can be completed in approximately 1-2 months. Most importantly, there must be a vision of what the information management system is to be used for.
The first step is to review the list of documents. Both a function-based and a structure-based approach are used, the former is more common and is the one we would recommend.
A WebDesktop structure tree is created based on the document list, and later the document list can be used to set retention periods and access rights, etc. for documents. It is also possible to import the document list into the system, for example from an Excel file.
The last major activity is the creation of users. Users are immediately linked to groups at the point of creation, which determine their rights in the system. Users can also reside on the organisation’s central LDAP or AD server.
A public part of the document register can also be created according to the organisation’s specifications, in which case the description of document types must specify which format elements and metadata are to be displayed in the public part.

The most extensive phase is the description of the document format elements and metadata. To do this, it is necessary to map the types of documents used by the organisation, to decide which format elements and metadata are needed, what type of data (text, number, date, etc.) is involved for specific metadata, whether default values can be set, whether the data is mandatory, etc. It is then possible to describe document types in WebDesktop.
To facilitate the registration of documents, it is possible to use the automatic assignment of a registration number and to store documents in the correct series according to their type. These definitions are made after the document list has been created and the document types described.
The permissions system in WebDesktop is group-based and it is a good idea to create user groups before creating users. Usually, there is a general group in the organisation called the general group, which consists of all users, plus groups that need different permissions, such as HR. Groups can also be hosted on the organisation’s central LDAP or AD server.
